Paper archives cost space, time and money
Many companies, institutions and administration authorities store huge volumes of documents in paper archives for evidentiary purposes that may arise in the future. The original paper documentation can then be produced in court in a legal dispute. Such document warehouses incur high maintenance costs, however, and prevent consistent and therefore time-optimised work processes for handling the documents.
Archiving with electronic signatures
To cut down paper-based archives, the digitalisation of documents (for instance at the inbox stage) and subsequent archiving in an electronic archive is today already a common procedure. When digitalising paper-bound documents, however, it is necessary to prove that the electronic image is identical with the original copy to preserve its legal evidential value. In order to achieve this, an authorised employee documents the match at the scan workstation by appending an electronic signature.
Generating signatures directly in the scan process

This guarantees that personal signatures are generated in compliance with legal stipulations even where high-volume documentary procedures are concerned. All relevant image formats and the future-proof PDF/A format are supported.
